Terms & Conditions for Reign & Shine Play Lab

By booking services or visiting Reign & Shine Play Lab, you agree to the following terms and conditions:

1. Bookings & Payment:
  • All bookings and purchases are made through our Leap360 system.
  • Payment is due at the time of booking unless otherwise stated.
2. Cancellations & Refunds:
  • Birthday Parties: Must be canceled at least 30 days in advance. Deposits are non-refundable. Cancellations made with fewer than 30 days’ notice may qualify for partial refunds or a credit toward a future event.
  • Sleepover-Style Events & General Events: Cancellations must be made at least 7 days in advance to receive a credit or partial refund.
  • Business-Initiated Cancellations: If we must cancel for any reason, a full refund or rescheduling credit will be offered.
3. Use of Facilities:
  • Guests must use equipment respectfully and follow all posted signage.
  • We are not responsible for lost or damaged personal items.
4. Marketing & Communication:
  • By providing your contact information, you agree to receive communications related to your visit or membership. You may unsubscribe at any time.
5. Liability Waiver:
  • Participation in play activities involves inherent risks. All guests must sign a separate waiver form prior to entry.
6. Right to Modify:
  • These terms are subject to change. Continued use of our services implies agreement with the most recent version of these terms.
7. Party Policies & Terms

By submitting your deposit, you acknowledge and agree to the following terms and conditions for your event.

Waivers

  • All party guests must complete a waiver prior to entering the play area.
  • You are welcome to include the waiver link from our website on your invitations.
  • Guests may also complete the waiver in-store on our iPad upon arrival.

Service Fee & Gratuity

  • All events require a service fee.
  • This fee is not a tip. It helps cover the time spent planning, preparing, setting up, assisting during, and cleaning before and after your event.
  • Gratuity is optional and goes directly to the staff working during your event.

Event Timing & Setup

  • Hosted and Semi-Private parties include 15 minutes of setup time prior to the scheduled event. No guests or vendors will be permitted inside before this time.
  • DIY Parties include 30 minutes of setup time.
  • If you or your guests remain more than 15 minutes past your scheduled end time, you will be charged for an additional full hour.
  • We schedule one hour between events to clean, sanitize, and prepare the space for the next party.

Cleaning Policy

We strive to provide a clean environment so you can enjoy a stress-free celebration. However, the host is responsible for ensuring guests treat the facility appropriately.

  • A $500 cleaning fee will be added if your party leaves an excessive mess in the dining area or play space.
    • Examples include play items scattered throughout the structure or excessive food, icing, or beverages smashed into floors.
  • If deep cleaning is required due to urine, beverages, or other hard-to-remove stains on floors or furniture, the cleaning fee will be $500.
  • Additional fees may apply for steam cleaning, sanitation, or repairs if damage occurs.

Guests may be asked to assist with basic cleanup to avoid additional charges.

Damage to Property & Technology

  • The host assumes full financial responsibility for any damage caused by guests to the facility, playground equipment, furniture, décor, or technology.
  • Damage to televisions, gaming systems, tablets, speakers, lighting systems, or other electronic equipment will result in repair or replacement charges.
  • A minimum damage fee of $1,000 will apply for damage to property or technology, with additional charges if repair or replacement costs exceed this amount.
  • Charges may be applied to the card on file.

Guest Count Policy

  • An accurate guest count must be provided prior to your event.
  • If additional guests arrive beyond your purchased package, you will be charged accordingly.
    • Example: If your package includes 15 children and 25 attend, you will be billed for the additional 10 children.
  • Food, drinks, paper goods, staffing, and favors are prepared based on the guest count provided.

Party Favors

  • Favors are prepared only for the confirmed guest count.
  • Custom party favors cannot be added or changed less than 14 days before the event.
  • If additional favors are needed within 14 days of the event, basic favors may be available for an additional fee, depending on inventory.

Infant Policy

  • Babies 11 months and under are free of charge.

Play Area Rules

  • No shoes are allowed in the play area under any circumstances.
  • All guests — including adults — must wear grip socks while in the play area.
  • Guests may bring their own grip socks or purchase them on-site.
  • Grip socks are included for all children attending the party.
  • Strollers are not permitted in the play area for sanitation and safety purposes.
  • Car seats are welcome, and we also have baby bouncers available for use if needed.

Supervision & Behavior

  • Children must be supervised by a responsible adult at all times while on the premises. Staff members are present to assist with operations and safety monitoring but are not responsible for supervising individual children.
  • Guests are expected to behave in a safe and respectful manner toward staff, other guests, and facility equipment.
  • The following behaviors are not permitted:
    • Rough play, pushing, or unsafe physical behavior
    • Climbing on the exterior of play structures or areas not intended for use
    • Throwing toys, equipment, or party items
    • Misuse of equipment or technology
    • Disruptive or aggressive behavior
  • Management reserves the right to stop activities, restrict play access, or remove any guest whose behavior is unsafe, disruptive, or violates facility rules. Refunds will not be issued in these situations.
  • Parents/guardians are financially responsible for any damage caused by their children or guests.

Staffing Requirements

  • Events with 20+ children and/or 30+ adults require an additional staff member for safety and liability purposes.
  • This fee will automatically be added to your bill.

Food Timing

  • For morning parties, the earliest pizza can be served is 11:30 AM, based on pizzeria operating hours.
  • Cake cutting will take place one hour before the event ends to allow time for singing, photos, serving, and enjoying dessert without feeling rushed.

Outside Vendors

  • All outside vendors and activities must be approved in advance.
  • Upon approval, a vendor fee starting at $30 will apply depending on vendor type.

Invitations

  • Digital invitations using the Reign and Shine Bash theme are included and are considered standard, not custom.
  • Custom invitation designs may be available for an additional fee and must be requested in advance.

Taxes

  • The current county sales tax rate will be added to all final bills.

Cancellation Policy

  • DIY Parties: May be cancelled 25 days prior to the event without penalty (excluding the non-refundable deposit).
  • Semi-Private Parties: May be cancelled 20 days prior to the event without penalty (excluding the non-refundable deposit).
  • Deposits are non-refundable under all circumstances.

Agreement

By paying your deposit, you confirm that you have read, understood, and agreed to all party policies and terms listed above.
